Information we collect
Information you give us
- Grande Collecte des Tout-Petits registration form: organization name, type of setting, contact person, email, phone, planned date, approximate number of participants and your message.
- “Devenir bénévole” (volunteer) form: name, email, phone, the ways you would like to get involved, your availability, languages spoken and what you choose to tell us about yourself.
- Emails and calls: the information you choose to share when you write to us or call us.
- Donations: online donations go through the Zeffy platform. Zeffy sends us your name, contact details and donation amount so we can issue your tax receipt and thank you. We never see your payment card details.
Information collected automatically
- Technical data: our host, WordPress.com (Automattic), processes data such as IP address, browser type and pages visited. This keeps the site working and secure, for example by blocking spam.
- Visit statistics: only if you accept them, the Jetpack Stats tool measures site traffic (page views, referring page, country). We only look at overall statistics.
We do no targeted advertising or profiling, and we never sell your information.
Why we use it
- To answer your questions and requests.
- To organize a drive with your organization as part of the Grande Collecte des Tout-Petits.
- To process your volunteer application, contact you and organize your involvement.
- To issue tax receipts, thank our donors and keep our accounting records.
- To keep the site secure and working properly.
- To improve the site with visit statistics, if you have accepted them.
We only collect the information needed for these purposes, and we do not use it for other purposes without your consent, unless the law allows it.
Cookies and privacy choices
A cookie is a small file saved by your browser. By default, only essential cookies are active. Visit statistics stay off until you accept them.
| Category | Purpose | Provider | Duration |
|---|---|---|---|
| Essential (always on) | Remember your cookie choices (cpsc_consent) and keep the site working and secure. | CPSC de Lachine, WordPress.com | 12 months for your choices; session or technical duration for others |
| Visit statistics (optional) | Measure page traffic to improve the site. | Jetpack Stats (Automattic) | Set by the provider |
The site also loads its fonts from Google Fonts servers. Your browser then sends your IP address to Google, without a cookie.
On the Contact us page, the interactive Google Maps map only loads if you click “Show interactive map”. Google then receives your IP address and may set its own cookies, under its privacy policy. Your browser remembers this choice to show the map directly on your next visits.
You can change your choices at any time with the button below or the “Manage cookies” link at the bottom of every page. You can also delete cookies in your browser settings.
Sharing with third parties
We only share your information with the service providers that help us deliver our services, and only as much as needed:
- WordPress.com / Automattic: website hosting, forms, spam protection (Akismet) and statistics.
- Zeffy: online donation processing.
- Microsoft 365 (Microsoft): email, sending and receiving our emails, and storing our work documents.
These providers are bound by contract to protect your information and to use it only for the services they provide to us. We may also share information when required by law.
Information kept outside Quebec
Some of our providers, including WordPress.com, Akismet, Google Fonts and Google Maps, may host or process information outside Quebec, mainly in the United States. Microsoft 365, which hosts our email, generally keeps the data of Canadian organizations in its data centres in Canada, outside Quebec. Before entrusting them with information, we assess whether the protection offered is adequate, taking into account the sensitivity of the information and the provider’s security measures.
How long we keep it
- Requests and the Grande Collecte form: as long as needed to handle the request and organize the activity, then at most 2 years.
- Volunteer applications: as long as needed to handle the application and during your involvement, then at most 2 years after your last volunteer activity.
- Donations and tax receipts: as long as required by tax laws (at least 6 years after the end of the year concerned).
- Visit statistics: kept in aggregate form by the provider.
At the end of the retention period, we securely destroy the information or make it anonymous.
Security
We take reasonable measures to protect your information: encrypted connection (HTTPS), access limited to people who need it for their work, strong passwords and a confidentiality commitment from our staff and volunteers.
If a confidentiality incident occurs, we act quickly to reduce the risks and we keep a register of incidents. If an incident presents a risk of serious injury, we notify the Commission d’accès à l’information and the people concerned.
Your rights
At any time, you can:
- ask to access the information we hold about you;
- ask us to correct it if it is inaccurate, incomplete or ambiguous;
- withdraw your consent to its use or sharing;
- ask us to stop disseminating information or to de-index a link about you, where the law allows it;
- ask to receive your information in a structured, commonly used technological format (portability).
To exercise your rights, write to the person in charge of the protection of personal information. We answer in writing within 30 days, free of charge.
If you are not satisfied with our answer, you can file a complaint with the Commission d’accès à l’information du Québec.
